Discounted Hotel Accommodation

We encourage all visiting and international delegates to stay at either the Fairmont Hotel or Swissotel, both of which are located directly adjacent to the Raffles City Convention Centre. By staying at either of these, you’ll maximise your experience during the Festival and its associated networking functions.

Tips to Ensure You a Great Festival

  1. View the final agenda online to pick the sessions you wish to attend.
  2. Discounted accommodation at our hotel block usually sell out early. Secure your room now at Fairmont Singapore or Swissotel The Stamford.
  3. View the attendee list to see what other companies you will meet there.
  4. Bring business cards so you can exchange them with other attendees.
  5. Post this banner on LinkedIn, Instagram and/or your preferred social media channel to let other attendees know they can also find you there.
  6. If you can no longer join us as a VIP attendee, for any part of the event, including dinner, please email day@beyondactiv.com and esther@beyondactiv.com and let us know.

Dress Code

11 June Evening (VIP Icebreaker Networking Reception): Smart-casual to formal. The choice is yours.

12 – 13 June Day Time (Leadership Summits, Exhibition, VIP Networking Lounge and 1-on-1 Meetings): Business casual, casual or athleisure. Your comfort is key. However, given the air-con exposure all day we would suggest no (tiny) shorts, open shoes or flips flops.

12 June Evening (Awards Dinner): The dinner dress code is anything from smart-casual up to formal – we give everyone the option of dressing up nicely, to whatever degree they want to.

Please diarise and action these points in the coming weeks and where relevant email day@beyondactiv.com with the below information (if you haven’t done so) by the 30th April:

  1. High-resolution picture and bio of your designated speaker(s)
  2. 60-sec promo video (16:9 ratio, mp4 file)
  3. Details (name, email, job title and phone number) of your designated colleague attending the event
  4. A list of companies you would like to see at the festival. We will invite them and ensure they are present at the event.
  5. If any of your guests have any dietary requirements, please let us know in due time.
  6. Discounted accommodation at our hotel block sells out early. Book accommodation for your speakers and/or colleagues at Fairmont Singapore or Swissotel The Stamford now to guarantee the best rates.
  7. For Exhibitors only – please download the exhibitor booth fabrication deck here and contact our contractors INX at exhibits@inx.com.sg as soon as possible so they can assist you with your exhibition/setup requirements.
  8. Please post your speaker/sponsor/exhibitor banners (we will send them to you via email soon) on your business/social media channels to shoutout your involvement at the event.

60-Sec Promo Video – Needed by 30th April

We will be looping around a montage of sponsor videos on a large LED wall and across various screens at the event to increase the visual and immersive experience. If you want your video to be included please start planning with your relevant colleagues and get ready to send this mp4 file to day@beyondactiv.com. Your video should be no longer than ~60 secs in length, 16:9 ratio and in MP4 format.

Exhibition Booths building & Tearing

For those with exhibition booths and who want specific fabrication, design or banner printing done, please download the exhibitor booth fabrication deck here and contact our contractors INX at exhibits@inx.com.sg as soon as possible so they can assist you with your exhibition/setup requirements.

If you have your own preferred contractor, please connect them with xingxing@inx.com.sg and ashley@beyondactiv.com. They will follow up with the necessary Permit to Work forms from the hotel.

EXHIBITON BUILD UP & TEAR DOWN TIMINGS:

  • Exhibition Set Up – Tuesday 3 June, 7pm onwards (We will have a schedule with the exact bump in time sent out closer to the event date. Please email ashley@beyondactiv.com with the list of logistics you will be bringing in)
  • Exhibition Tear Down – Thursday, 5 June, 5 pm onwards

Equipment & Material Deliveries

Deliveries to the venue will only be accepted 48 hours before the event start date and must be collected within 48 hours after the conclusion of the event. If you would like to send your equipment and/or marketing material to the venue, please contact Ashley@beyondactiv.com and Jolin@beyondactiv.com for more information.

ALL CONFIRMED SPEAKERS ARE AUTOMATICALLY REGISTERED AS VIP GUESTS AND CAN ACCESS THE FULL FESTIVAL

In the coming weeks, we will connect you to your fellow speakers. If you have any AV requirement, please let us know. If you are using slides/power point presentation, please send it to us 1 week before the event.
