Tips to Ensure You a Great Festival

  1. View the final agenda online to pick the sessions you wish to attend
  2. Book your discounted accommodation at the Marriott Marquis before rooms are sold out.
  3. You will need either an Electronic System for Travel Authorisation (ESTA) visa waiver or a visa to enter or transit the USA as a visitor. Please apply for your visa in advance.
  4. View the attendee list online (it will be published in August) to see what other companies you will meet there
  5. Bring business cards so you can exchange them with other attendees
  6. Post this banner on LinkedIn, Instagram and/or your preferred social media channel to let other attendees know they can also find you there. Connect now!
  7.  If you can no longer join us as a VIP attendee, for any part of the event, including dinner, please email day@beyondactiv.com and esther@beyondactiv.com and let us know.

TUES 21 NOVEMBER

9.00AM – 5.00PM: Leadership Summit and Innovation & Investment Summit
5.00PM – 7.00PM: Icebreaker Networking Reception 
7.00PM – 10.00PM: Industry Celebration Dinner

10.00AM – 11.30AM: Series of Networking Site Visits Around the Best Clubs in Sydney’s CBD including Fitness First Bond Street, Lockeroom and EMF Health Club Circular Quay
12.30PM – 2.00PM: An Extended Networking Site Visit to One Playground

Dress Code

17 – 18 Sept (Leadership Summit and Innovation & Investment Summit): Business casual, casual or athleisure. Your comfort is key. However, given the air-con exposure all day we would suggest no (tiny) shorts, open shoes or flips flops.

19 Sept (Site Visits Across New York): Comfortable clothes and athleisure is recommended, especially if you are planning to workout.

***Very Important - Next Steps, Collaterals & Timelines***

Please diarise and action these points in the coming weeks and where relevant email day@beyondactiv.com with the below information (if you haven’t done so) by the 31st July:

  1. High-resolution picture and bio of your designated speaker(s)
  2. 60-sec promo video (16:9 ratio, mp4 file)
  3. Details (name, email, phone number, job title and company name) of your designated colleague and client guests
  4. A list of companies you would like to see at the festival. We will invite them and ensure they are present at the event.
  5. If any of your guests have any dietary requirements, please let me know in due time.
  6. Book your speakers and delegates their discounted accommodation at the Marriott Marquis before rooms are sold out.
  7. For Exhibitors only – We will provide you with the exhibitor manual and our contractor’s details within the next month. In the meantime, if you have an exhibition enquiry, you can email Ashley@beyondactiv.com.
  8. Please ensure you (and your company) post your speaker and/or sponsor/exhibitor banners (below) on your business/social media channels to shoutout your involvement.

60-Sec Promo Video – Needed by 31st July

We will be looping around a montage of sponsor videos on a large LED wall and across various screens at the event to increase the visual and immersive experience. If you want your video to be included please start planning with your relevant colleagues and get ready to send this mp4 file to day@beyondactiv.com. Your video should be no longer than 60 secs in length, 16:9 ratio and in MP4 format.

Exhibition Booths building & Tearing

For those with exhibition booths and who want specific fabrication, design or banner printing done, please download the fabrication pricing list here and contact our contractors, craig@expoevolution.com.au as soon as possible so they can assist you with your exhibition/set up requirements.

If you have your own preferred contractor, please connect them with ashley@beyondactiv.com and she will follow up with the necessary set up instructions.

EXHIBITON BUILD UP & TEAR DOWN TIMINGS:

Equipment & Material Deliveries

Deliveries to the venue will only be accepted 48 hours before the event start date and must be collected within 48 hours after the conclusion of the event. Please download, review and fill in the below documents:

  1. Delivery Label – Please download/fill in and paste the label below on your boxes to be delivered to the Sofitel Sydney Wentworth.
  2. Delivery Collection – Download and use the collection label below to collect your boxes after the event is finished.
  3. Exhibitor Information Pack – Please download the hotel exhibitor manual for information on delivery, parking, storage and more.

Speakers information

ALL CONFIRMED SPEAKERS ARE AUTOMATICALLY REGISTERED AS VIP GUESTS AND CAN ACCESS THE FULL FESTIVAL

In the coming weeks, we will connect you to your fellow speakers. If you have any AV requirement, please let us know. If you are using slides/power point presentation, please send it to us 1 week before the event.
