Tips to Ensure You a Great Festival

View the final agenda online to pick the sessions you wish to attend
Book your discounted accommodation at Sofitel Wentworth Sydney before rooms sell out.
Check if you need visa to enter into Australia and apply for it in advance.
View the attendee list online to see what other companies you will meet there.
Bring business cards so you can exchange them with other attendees.

Dress Code

2 Dec (Morning Networking Walk): Comfortable clothes and athleisure is recommended.

2 Dec (Networking Site Visits): Comfortable clothes and athleisure is recommended.

3-4 Dec (Leadership Summit, Innovation & Investment Summit, and 1-on-1 meetings): Business casual, casual or athleisure. Your comfort is key. However, given the air-con exposure all day we would suggest no (tiny) shorts, open shoes or flips flops.

3 Dec (Industry Celebration Dinner): The dinner dress code is anything from smart-casual up to formal – we give everyone the option of dressing up nicely, to whatever degree they want to.

Very Important - Next Steps, Collaterals & Timelines

Please diarise and action these points in the coming weeks and where relevant email day@beyondactiv.com with the below information (if you haven’t done so) by the 30th September:

High-resolution picture and bio of your designated speaker(s)
60-sec promo video (16:9 ratio, mp4 file)
Details (name, email, job title and phone number) of your designated colleagues to attend the event
A list of companies you would like to see at the festival. We will invite them and ensure they are present at the event.
If any of your guests have any dietary requirements, please let me know in due time
Book your speakers and delegates accommodation at Sofitel Wentworth before rooms are sold out
For Exhibitors only – Please download the exhibition manual and contact our contractor with your exhibition requirements. All details below
Please ensure you (and your company) post your speaker and/or sponsor/exhibitor banners (these will be emailed to you and your team) on your business/social media channels to shoutout your involvement.

60-Sec Promo Video – Needed by 30 September

We will be looping around a montage of sponsor videos on a large LED wall and across various screens at the event to increase the visual and immersive experience. If you want your video to be included please start planning with your relevant colleagues and get ready to send this mp4 file to day@beyondactiv.com. Your video should be no longer than 60 secs in length, 16:9 ratio and in MP4 format.

Exhibition Booths building & Tearing

For those with exhibition booths and who want specific fabrication, design or banner printing done, please download the fabrication pricing list and contact our contractors, craig@expoevolution.com.au as soon as possible so they can assist you with your exhibition/setup requirements.

If you have your own preferred contractor, please connect them with ashley@beyondactiv.com and she will follow up with the necessary setup instructions.

Equipment & Material Deliveries

Please email ashley@beyondactiv.com with details of the delivery. Deliveries to the venue will only be accepted from 30 Nov onwards, and must be collected by 6 Dec. Please download, review and fill in the below documents:

Delivery Label – Fill in and paste the label on every box to be delivered to the Sofitel Sydney Wentworth.
Delivery Collection – Fill in and paste the label on every box to be collected.
Exhibitor Information Pack – Please share the hotel exhibitor manual with your delivery/ contractor partners for information on delivery, parking, storage and more.
